Vehicle Rental Terms and Conditions

RATES

All Hire/Rental rates are subject to change without notice and all rentals are subject to the full Rental/Hire terms and conditions as listed on the rental agreement or as may be substituted or provided from time-to-time by the company. All Hire/Rental rates are quoted in (AUD$) Australia Dollars.

No Guarantee of specific vehicle availability is made without prior booking confirmation, substitution of vehicle Make and or model at the discretion of the company.

All Hire/Rental rates listed are for vehicle use within Victoria. Please apply for rates on rentals travelling outside Victoria or for extended or long-term hire periods.

INSURANCE

All Hire/Rental rates include comprehensive insurance coverage (Insurance excess applies).

Hire/Rental rates include comprehensive insurance cover for drivers 23 years plus. However there is a non-waivable excess of $2000 for 4WD's for each and every incident.  Due to the nature of our sector of the Hire/Rental industry - Our insurers do not offer “Daily Excess Reduction Rates”

Learner or Probationary Drivers are not permitted to drive our vehicles.

Roof, under body and interior damage is not covered by insurance nor is damage caused by water to either the engine or vehicles interior. Insurance does not cover salvage or recovery costs related to any accidents. It is the renters' responsibility to return the vehicle to the place of hire. Off Road Rentals does not permit its vehicles to be driven on beaches and all insurance cover is void in such cases. The renter should ensure they do not undertake terrain beyond both the vehicle and drivers capabilities.

INSURANCE EXCESS OF $3000 APPLIES FOR 4WD's Multi Vehicle accident up to $5000 Damage (Not at Fault incident).
INSURANCE EXCESS OF $5000 APPLIES FOR 4WD's Single Vehicle accident per vehicle - per incident.
INSURANCE EXCESS OF $3000 APPLIES FOR 2WD's up to $3000 Damage per vehicle - per incident.

SECURITY DEPOSIT

We require a security deposit (Credit Card Pre-Authorisation) for all vehicle Hire's prior to receiving your vehicle - which is wholly refundable if the vehicle is returned on-time to the nominated drop-off point undamaged, clean and complete with all supplied equipment and a full tank of fuel. Debit Cards are not accepted for Security Deposit.

PAYMENT

Payment may be in cash, bank or travellers cheques and most Credit Cards. Corporate Hire - Vehicles can be supplied on the production of an official corporate order and payment of accounts is requested within 30 days to approved clients. Debit Cards are not accepted for Security Deposit. Tolls and Traffic/Parking fines incur a 25% administration fee.

LICENCES

We accept all current Australian and International (Photo Identification style) licences (applicable to vehicle rating) for drivers 23 years plus, with a minimum 2-years licensed driving experience.

Learner or Probationary Drivers are not permitted to drive our vehicles.

DROP OFF POINTS

Rate shown are for rentals finishing at originating hiring point. If it is necessary the vehicle may be left in another city, however, a repositioning fee (varies according to drop-off point) will be charged in advance for this service.

EARLY RETURNS

Where a vehicle has been hired for a specified rental term/rate and it is returned earlier than the rate band to which it was hired (e.g. hired for 30 days, returned on day 16 etc) unless for exchange, replacement or maintenance by the company and no replacement vehicle is required - the daily hire rate shall revert to that for the period in which the vehicle was actually held by the hirer (e.g. 16 days).

FUEL

Upon collection/delivery, your vehicle is supplied with a full tank of fuel and on your return the cost of any refilling will be applied, plus a handling fee - this cost will be charged to your credit card or deducted from the security deposit as held during the hire term.

FUEL SURCHARGE: $3.00 per litre charged over and above receipted retail pump price will apply.

CLEANING

Although the vehicle hired is either a Tool-of-Trade or 4WD, your vehicle is supplied in a clean and presentable condition, upon its return any excessive soiling will incur a $110 cleaning charge. In Australia, smoking in Hire vehicles is prohibited by law a $110.00 cleaning charge will also be applied if found to have cigarette ash within/over vehicle. If applicable these costs will be charged to your credit card or deducted from the security deposit as held during the hire term.

FAIR WEAR & TEAR

Your vehicle is supplied in a safe, reliable and good condition as applicable to the Vehicle Hire Industry. For your protection, any minor body defects will be noted at the time of hire upon the hire contract. We operate under a Fair Wear and Tear policy towards the ongoing use and conditions of our vehicles.

Any damage not noted on the Hire contract at commencement of hire is chargeable to the hirer unless as defined within the industry as Fair Wear and Tear this repair or replacement cost will be charged to your credit card or deducted from the security deposit as held during the hire term.

VEHICLE DAMAGE

Any damage on the vehicle upon its return not noted on the Hire contract at commencement of hire is chargeable to the hirer, unless as defined within the industry as Fair Wear and Tear – this or any repair or replacement cost(s) will be charged to your Credit Card, Corporate Account or deducted from the security deposit as held during the hire term.

USAGE

Some of our LCV fleet are fitted with front and rear ladder/load racks, however all overhead loads are limited to 150kg by Federal road laws. All our utes are fitted with tow bars, allowing you to tow a trailer – the maximum load for our LCV vehicles is 1 tonne.   Please note; you are not permitted to tow horse floats, car trailers or large box type furniture trailers, heavy boats etc, UNLESS using the appropriate tow vehicle (Landcruiser).

Exceeding either a vehicle’s towing or carrying capacity, will forfeit the security deposit held – Vehicle telemetry and GPS systems are in place to monitor usage.

It is the hirer’s responsibility to ensure that they are in compliance with all Road, Traffic, Council bylaws, Toll, Speed and Parking regulations and our full terms of hire whilst in charge/hire of the vehicle.

All terms, conditions and any information contained or listed within this document, form part of the “Off Road Rentals” General Hire Terms, both jointly and collectively (Subject to change without notice).
